On behalf of client – Sales Office & Warehouse Coordinator

We are currently looking for a Sales Office & Warehouse Coordinator for an international technology company based in Malmö. This is a great opportunity to join a global environment where you will play a key role in connecting sales, logistics, and warehouse operations.

This is a hands-on and varied role, ideal for someone who enjoys working close to the business, taking ownership, and being part of improving day-to-day operations.

 

The duration of the assignment is 12 months starting as soon as possible.

 

About the role

In this position, you will be part of the operations department, working closely with sales, customers, and warehouse teams to ensure a smooth and efficient order-to-delivery process.

Your focus will be on sales order fulfilment, customer support, and warehouse coordination, with the overall goal of delivering high quality service and ensuring OTIF (On Time In Full).

You will work in an international environment where English is the main language, and where collaboration across teams and functions is key.

 

Key responsibilities

Sales Order Fulfilment

  • Receive and process customer orders (via email, phone, EDI, etc.)
  • Send order confirmations and manage order flow in the ERP system
  • Plan and book deliveries in coordination with warehouse and carriers
  • Manage delivery appointments and handle changes or delays
  • Maintain customer setup documentation
  • Handle outbound invoice coding

Customer Support

  • Act as a point of contact for customers regarding orders, deliveries, and product information
  • Provide reports (e.g. IMEI data files, packing lists)
  • Manage sales returns and delivery schedules
  • Maintain and update price lists

Warehouse Coordination

  • Monitor inventory and ensure accurate stock levels
  • Create and manage rework logs
  • Handle inventory adjustments and warehouse optimization
  • Manage returns, damaged goods, and rework processes
  • Ensure materials are in the right place at the right time

 

Who we are looking for

We are looking for someone with the right mindset and attitude – a person who is curious, proactive, and eager to learn.

You are not afraid to ask questions, take initiative, and support the team where needed. You enjoy working in a structured way but can also handle a dynamic environment with multiple priorities.

 

We believe you have:

  • Experience in sales support, order management, logistics, or similar (ideally 3–5 years)
  • Good understanding of business processes and how operations, sales, and logistics connect
  • Strong communication skills and fluency in English (Swedish is not required)
  • Experience working in Excel and preferably an ERP system
  • A structured and detail-oriented way of working
  • A customer-focused and problem-solving mindset
  • Ability to work in an international, fast-paced environment
